Personal Assistant to MD. London, Mayfair (W1)

(Our client’s preference is for a candidate who is available for an immediate start on a temporary to permanent basis, however, this role is still open to all suitable applicants, regardless of notice period). 

Our client is a prestigious Property Consultancy located in London’s Mayfair (W.1)- nearest tube – Bond Street. They require a professional and efficient Personal Assistant to be one of two PAs for theManaging Director.

We are looking for a hard-working, personable, switched-on individual. You will be required to cover all the usual PA duties such as typing, diary management, courier and flight bookings. The role is very varied with both personal and business matters needing to be dealt with.

It is a fast paced environment with certain days which can be very busy and therefore the candidate must be able to cope under pressure. The days as a result are always action packed and there is never a dull moment!

Hours 09:00 – 18.00 (needs to be flexible – an 18:30 / 19:00 finish time is not unusual, occasionally later and once a week an 08:00 start is required to set up for a meeting).

Specific Responsibilities 1) Writing letters & emails from dictation. 2) Word processing of letters, memos, agendas, minutes and reports, scanning documents, sending faxes and using the photocopier. 3) To sort and prioritise incoming post and electronic mail, where appropriate responding to incoming mail. 4) Diary management for the MD (electronically, using Microsoft Outlook), including arranging all appointments and managing a bring-forward system. 5) Arranging travel, obtaining all relevant paperwork for trips and providing itineraries. 6) To organise meetings and appointments, book venues, and make any other arrangements as necessary. 7) To organise client hospitality and events including the Company Christmas Party. 8) Assist with Training program for all staff. 9) Production of various management reports. 10) To answer all telephone calls for the MD and log all calls (time, person, company, message). 11) To deal with general telephone enquiries appropriately (these may be confidential and sometimes urgent). To ensure that all telephone, email and personal enquiries/callers are responded to promptly and courteously, and that messages are recorded and passed on with minimum delay. 12) Organising and setup of conference calls. 13) To maintain an efficient filing and record keeping system ensuring that items are readily accessible. 14) Inputting of data and updating spread sheets and databases. 15) Assisting the MD as required. 16) Assisting in certain project / research work that may be required from time to time. 17) Attending meetings and taking minutes if required. 18) To ensure the efficient running of the office. 19) To undertake any other similar tasks as the MD or Senior Management team may from time to time determine or the demands of the Company require. 20) Some personal/family tasks.

Key skills and Experience required

Essential: • At least 5 years in a similar role • High ability to multi task and prioritize. • Calmness under pressure. • High level of attention to detail. • Able to listen and follow instructions. • Robust personality. • Well-spoken and well presented. • Excellent grammar, IT and letter writing skills. • Fast typing speed at 80 wpm with accurate spelling. • Confident telephone manner. • Energy and enthusiasm. • A sense of humour. • Able to think on your feet. • Able to work as a team player and use own initiative.

Desirable:

• Previous experience in a fast paced property company. • Experience in Qube or other property software.
